REFUND
POLICY

We want you in the programme only if it is the right fit. This page explains exactly when you can request a refund, how much you get back, and how the process works. Plain language, no legalese.
REFUND WINDOWS
Refund eligibility is anchored to your cohort's session schedule — not to when you paid. Someone who enrols a week before the cohort starts has the same window as someone who enrols two months early.

"Up to the scheduled start time of Session N" is precise. A request received one minute before the cut-off qualifies; one minute after does not. We use the timestamp on your refund request email as authoritative.
WHAT "100% REFUNDED" MEANS
- You get back the full LKR amount you paid.
- AI Crucible absorbs any payment-gateway processing fees. You see no deduction on your statement.
- Card payments are refunded to the original card (the gateway enforces this — we cannot redirect a refund elsewhere).
- Cash payments are refunded by bank transfer to an account in your own name. Proof of ownership of the bank account is required.
WHEN A REFUND CANNOT BE REQUESTED
- You have attended any portion of Session 1 (for full-payment or instalment-1 refunds).
- You have attended any portion of Session 3 (for instalment-2 refunds).
- The cohort has been completed.
- The certificate has already been issued.
- More than ninety days have passed since the most recent payment. This is a constraint of the payment gateway, not a policy choice on our part.
"Attended any portion" means you sent at least one chat message during the live session window for that session. If you joined the venue but sent zero messages, you have not attended.
INSTALMENT REFUND MECHANICS
- Instalment 1 and instalment 2 are independent payments and refundable independently.
- Refunding instalment 1 cancels your enrolment outright. Instalment 2 will not be charged; no further reminders will be sent.
- Refunding instalment 2 alone does not undo instalment 1. You keep access to Sessions 1 and 2 (which instalment 1 paid for) but are removed from the cohort from Session 3 onwards.
- If you paid instalment 1, attended Sessions 1 and 2, and never paid instalment 2, you are not entitled to a refund of instalment 1. You consumed its value in full.
IF AI CRUCIBLE CANCELS THE COHORT
If we cancel a cohort, slot, or session — for low enrolment, instructor unavailability, venue issues, or force majeure — you receive a full refund of all amounts paid to date, regardless of which sessions have already run. This is the only refund path that bypasses the windows above.
If under-enrolment threatens a cohort, we may also offer you the option to consolidate into another cohort instead of refunding. You always have the right to choose the refund.
HOW TO REQUEST A REFUND
Email hello@ai-crucible.org with the subject line "Refund request — [Your name] — [Cohort]" and the following:
- Your full name as it appears on your enrolment.
- The cohort and level you are requesting a refund from.
- A brief reason (one line is fine — this is for our records and to improve the programme).
- For cash payments: a bank account in your own name to receive the refund.
Refunds are admin-processed manually. We aim to initiate the refund within two business days of receiving your email. The gateway then takes a further seven to fourteen business days for the amount to post on your bank statement — this final step is outside our control.
